We have a great opportunity for a Revenue Operations Analyst to join our growing company!

 

This position is responsible for developing and executing processes to support the collection of childcare subsidy payments across multiple states and developing and coordinating activities for assigned centers with childcare assistance programs ensuring compliance with federal, state and local agencies and company policies and procedures. The Revenue Operations Analyst has the unique opportunity to establish systems and procedures to create efficiencies in managing subsidy processes. This position will help tie in the accounting department and billing function to create streamline process and workflows between the two departments.

Responsibilities

  • Oversees the revenue & collection life cycle; obtains and reviews all agency billing cycles
  • Develops processes to include:
    • Review cash collections of subsidy payments
    • Reconciles payments to accounts receivable
    • Completes AR adjustments
    • Addresses re-bill and/or refund opportunities
    • Prepares and distributes reports, monitors for unusual items and resolves and/or escalates issues as appropriate.
    • Prepares audit documentation and reports notifications of agency audits
    • Maintaining and storing subsidy records in accordance with agency guidelines and company policies and procedures
    • Builds effective relationships with internal and external partners, including field operations and childcare agencies
  • Billing Management:
    • Ensure timely and accurate billing cycles. (identify when schools are not billing and follow up with management teams/train, etc.)
    • Handle any billing-related inquiries and resolve discrepancies promptly.
  • Accounting:
    • Stay informed about all company wide initiatives and accounting process
    • Stay informed and alert operators of accounting requirements through state and local funding
    • Ensure accounting, operations, and billing are all adequately informed and tied together of any changes with billing procedures needed
    • Develop process & workflows to streamline changes to billing needed and determine how they would affect revenue
    • Provide insight and feedback to collection status
    • Monitor billing cycle and provide reporting to the billing managers
    • Assist the billing team with any ad-hoc reporting needs
  • Documentation and Record Keeping:
    • Maintain organized records of all cash collection and the related revenue cycle
    • Ensure understanding of agency billing cycles.
    • Prepare reports summarizing billing and subsidy activities for management.
  • Collaboration with Other Departments:
    • Coordinate with the finance & accounting department to reconcile billing records and financial statements.
    • Collaborate with operations staff to ensure accurate information for billing purposes.
  • Policy Adherence:
    • Stay updated on childcare company policies, especially those related to billing and subsidies.
    • Ensure compliance with legal and regulatory requirements governing billing and subsidy programs.
  • Training and Support:
    • Provide training and support to staff members involved in billing or subsidy-related processes.
    • Stay informed about changes in billing procedures or subsidy regulations and train the team accordingly.
  • Problem Resolution:
    • Address and resolve any billing disputes or concern in a fair and efficient manner.
    • Work with internal teams to find solutions to subsidy-related challenges.
  • Continuous Improvement:
    • Identify opportunities to streamline billing processes and improve efficiency.
    • Suggest and implement enhancements to subsidy application procedures for better outcomes.

Requirements

  • Bachelor’s Degree required
  • 3-5 years’ experience processing state subsidy payments in a childcare organization
  • Broad knowledge-base of the subsidy process and is able to apply that knowledge across multiple states.
  • Strong computer skills covering financial systems and general office software, including MS Office and email
  • Demonstrated skills in customer service and professionalism
  • Demonstrated skills in conflict resolution and collaboration
  • Professional verbal and written communication skills, including the ability to foster open dialogue
  • Demonstrated ability to collaborate across multiple teams

  • Ability to process a high volume of students and/or centers based on prior subsidy experience and agency requirements
  • Must be able to travel between alternate center and office locations on occasion
  • Must be able to withstand long periods of sitting and frequent use of computer and telephone
  • Strong and experienced leader who can motivate and inspire direct and indirect reports to achieve stated goals
  • Execute fiscal operations, have good interpersonal and communication skills and the ability to work well with internal and external teams
  • Effectively develops strategies and drive change to achieve goals
  • Experience working with remote employees and can organize and prioritize while providing exceptional customer service
  • Ability to train school teams on all subsidy billing items
  • Ability to create strong processes for self and school teams to efficiently manage subsidy authorization, billing, attendance and payment
